Canva File Management

Standard

The standard with which Michigan Virtual courses need to comply. 

To ensure file access and organization, Canva content utilized in courses or other shared materials should adhere to a standardized naming convention, file structure, and sharing rights, thereby guaranteeing access for the entire team.

 

Requirements 

What exactly do course developers need to include in order to comply with this standard? 

Content used in a course or other project must:

  • Have a subfolder for that course or project in the SLS-COURSE FOLDERS or PLS-COURSE FOLDERS shared folder. These folders are shared with the iPD team.
  • Be created (or created, then moved) into the appropriate subfolder referenced above.
  • Named with the following convention: ShortCourseName Unit.Lesson Descriptor
  • Shared with the organization. The content will be shared when placed in the appropriate course folder referenced above. 


Note: Content for individual use may be created and stored in a personal folder within Canva.

 

Implementation 

How can course developers implement this standard? What is the process for doing so?

Content location for all content created and used in a course or other project should be located as follows:

  • Verify a course folder exists in the team folder SLS-COURSE FOLDERS or PLS-COURSE FOLDERS. If it does not exist, create a course folder with the actual name of the course or project.
  • Create (or create and move) content into the appropriate course or project folder referenced above. The course folder resides in a team folder, so further sharing with the team in Canva will not be necessary.
  • Content should also be added to the appropriate Google folder for the course you are working on.


Name the content:

  • The content name could include the following 3 parts
    • ShortCourseName
    • Unit.Lesson
    • Descriptor
  • Examples:
    • Math6 1.1 Ratios
    • Sp1A 1.2 Vocabulary Set 1
    • Sp1A 2.2 Summary


Content for individual use may be created and stored in a personal folder within Canva.

Helpful Hint:

If you are adding images, videos, etc from Canva’s asset library, be sure to collect and place the attributions in the course attribution document so that you do not have to try and find the information for them later.
